$Budget: manage budget with SAP interface
$Budget performs project-oriented planning, administration, supervision and monitoring of all company budgets. It assists project management and accounting by providing complex control mechanisms and comprehensive reporting from idea to project conclusion. Automatic daily synchronization with SAP furthermore enables seamless integration with a company’s financial resources management. What’s more, $Budget will adapt to company characteristics and details, conventions and procedures – not the other way around.
Effective budget administration must already begin in the preliminary stages when a project manager needs to draw up budget estimates covering anticipated implementation times for new project ideas. For this, $Budget distinguishes consistently between CAPEX and OPEX projects – with the expenditure type categorized both according to German HGB (the German federal commercial law code) and to US GAAP (United States Generally Accepted Accounting Principles). At the same time, the budget administrator retains full control to further adjust or expand any master data for the current and all following steps (with respect to classifications, categories, standardizations, etc.). Incorporation and consistent administration of relevant company-specific characteristics thus becomes a simple matter of course.
Such a project proposal can then be reviewed during project preparation. Already at this point, the analysis functions of $Budget yield results during evaluation and ranking, according to which project engineering can then file budgets for selected projects and suitable project groups.
All data remain available throughout the entire process. This is particularly important for accounting and controlling, where budget proposals and requests are reviewed and budget drafts are formulated accordingly. Of course, the same applies to budget authorization and clearance as well. By channeling all administrative data similar to a workflow, $Budget also maximizes transparency.
For approved budgets, the respective project managers must define individual projects with structure planning, definition of milestone, etc. These are then introduced into the project authorization process through technical controlling. The approved projects are consequently created along with full structure planning in SAP.
When such projects are kicked off for real, the budget administration process enters its second major phase – namely that of project monitoring. During this, $Budget subjects current projects to monthly phasing with automatic recalculation and advance planning of remaining funds. By the same token, automatic synchronization between $Budget and SAP makes new data available daily for automatic comparison of actual spending with predefined spending targets. In addition, projects created externally in SAP are imported and can thus be assigned to an appropriate budget.
What’s more, $Budget ensures everyone involved can easily keep track of new daily budget status and progress information at all times. If necessary, specific access privileges can be fine-tuned for each and every data and control element. Moreover, powerful analysis tools are available during each step to provide a detailed overview of how things are proceeding – both on the project and on the budget level. This is further complemented by precise, comprehensive reporting.
Database connectivity is implemented through a fully ANSI SQL-compatible converter – meaning any SQL database can be chosen with no loss in performance. The entire user interface and all reports in $Budget are fully dynamic. They are generated during runtime from rule sets, not from templates, meaning there is no associated drop in speed. That way, desired appearance, condition, authorization, and data filter can all be specified separately for each individual control element. This generation system is itself fully administrable as well. $Budget also offers multi-language support; the language displayed can be switched during runtime.
